Health & Wellness

2025-04-11

Windycon and ISFiC are committed to the health and safety of our fannish family, and that will always be our first priority. When planning each convention, we find ourselves making many decisions that try to balance that priority against providing all those elements that make a Windycon a Windycon.

If you have registered for Windycon and your circumstances change such that you can't or shouldn't attend, contact us and we will roll your membership over to the next Windycon and work with you to cancel your hotel reservation.

That's it. That is the policy. If something happens and you have a health or hardship issue, reach out to us at registration@windycon.org , tell us what is going on, and we will move your membership from this Windycon to the next.

Do I need to have Covid to qualify for a rollover?

While this policy has its roots in coping with Covid, after much discussion and reflection, we've expanded it to cover more than issues of physical health.

If you are ill or have been recently ill, for your sake and the sake of all of us, please stay home and recover. You will be missed, but we will be all the happier to see you next year.

Likewise, if your physical or mental health might suffer if you attend Windycon, tell us. We will ask for some basic details, but will not judge and will respect your privacy. It is more important that you feel safe and healthy and supported than we see you in person for a weekend.

What if I develop a health or hardship issue at the convention?

If you should fall ill at the event, you are asked to remove yourself from the convention area. If you do so voluntarily, Windycon will roll-over your membership in full to the next convention and work with you and the hotel if you need to vacate early.

Failing to remove yourself voluntarily or when asked by Convention Staff will be considered a violation of our Code of Conduct, and any necessary action will be taken to protect the remaining attendees.

If there is another reason that you need to leave the convention, reach out to us and we will see what we can do.

For any of these at-convention issues, stop by Registration or Operations to get the ball rolling.

What defines a hardship?

Wiser minds than ours have tried to answer that. There is no definitive list of circumstances we will or will not accept as a hardship. What we can say is that if you contact us and tell us what you can, we will work with you.

Can I get a refund rather than a rollover?

We do not offer refunds. If you feel your circumstances are severe enough to warrant a refund, you will need to contact the Convention Chair directly.

Can I transfer my membership to someone else?

Check the information at Transfer Your Windycon Registration to see if you can transfer your membership to someone else.

Does Windycon have masking policy?

Our convention-wide policy remains unchanged: Masks are welcome. Harassment is not. Some folks will mask-up to one degree or another. Others will not. Those are individual decisions made for personal reasons. We may not all agree with the reasoning on any side, but we remind all attendees to be respectful of the opinion of others.

Now, there may be places or events at Windycon where a stricter masking policy is in place.

  • Parties may set their own masking policies.
  • Individual events may require masks at the request of the presenter(s). Appropriate signage will be in place and the program listing will convey this information.

Do I need to prove that I am vaccinated?

Neither proof of vaccination or proof of a negative Covid-19 test will be required to attend Windycon. We hope that those that can be vaccinated for various diseases will be, but we do not want to make those decisions for others.

If you have any questions or comments about this policy, email registration@windycon.org .
